REGULATIONS & PROCEDURES 

Exhibitors

Indoor Booth - $450

The Dawson City Chamber of Commerce will provide one 10' x 10' space, curtained on three sides. Indoor booths include wireless internet access, one duplex 110-volt electric receptacle, one table and two chairs. Exhibitors are required to provide their own advertising signage.

Outdoor Booth - $550

The Dawson City Chamber of Commerce will provide one 20' x 40' (approximate) outdoor space, fenced on left and right sides and open at both ends so that a truck may be driven through. Each space includes one table and two chairs. Please note that no electricity is provided.

Registration & Payment
All booths must be paid for by Friday May 1st, 2020. Please make all cheques payable to Dawson City Chamber of Commerce. Please be aware that booth selection is a first come first serve basis. All exhibitors and sponsors must provide logos, ads and any other media required for advertising in a timely manner, and on time for deadlines.
All exhibitors and booth personnel must check in at the Gold Show information booth in the arena and will be issued identification badges. The company signing the contract will be the company whose name appears on the badges. A listing of exhibitors will be announced in newsprint advertising and on our website, brochure and posters.

Cancellations & Refunds
Any exhibitor cancelling prior to April 1st, 2020 will receive a full refund. After this date, cancellations prior to April 17th, 2020 will receive a 50% refund. There will be no refunds after April 17th, 2020.

Parking
Street parking is available around town. Exhibitors parking their vehicles are encouraged to be mindful of local residents and businesses when choosing a parking spot. Note that the roads 4th, Queen and 5th surrounding the trade show area are closed and therefore no parking is permitted at any time Thursday through Sunday.

Exhibitor Setup
Exhibitor setup will be on Thursday May 14th from 10AM to 7PM. All exhibitors are responsible for their own setup labour, however there will be a bobcat available on site, from 1PM to 5PM for unloading and moving large items around. Exhibitors MUST be present while booth items are being unloaded and moved. The bobcat is in high demand and is available on a first-come, first-serve basis, so to reserve access to this service, please contact the Dawson City Chamber of Commerce.
Indoor and outdoor booths will also be open from 8AM to 9:30AM on Friday May 15th before the trade show floor opens for any last-minute setup items, but there will not be any bobcat available for unloading/moving equipment.

Exhibitor Takedown
Exhibitor takedown will be on May 16th from 4PM to 6PM. There will be a bobcat service available during this time for loading items and equipment. Exhibitors must reserve this service ahead of time by contacting the Dawson City Chamber of Commerce. Exhibitors MUST be present during take down, and loading of items and equipment. All items must be cleared from booth areas by 6PM.

Shipping & Storage prior to Gold Show
Please contact the Dawson City Chamber of Commerce if you are shipping any booth items or equipment to Dawson prior to the trade show.
The Dawson City International Gold Show, and the Dawson City Chamber of Commerce does not have on-site storage available for booth items or equipment. The Dawson City Chamber of Commerce is not responsible for any items shipped to Dawson prior to Gold Show, items in off-site storage, items during transportation to & from the trade show, or items during unloading and loading.

Character of Exhibition Arena
Please be aware that the arena is not heated and is chilly, please dress accordingly.

The arena floor is packed gravel. Exhibitors are required to set up, display and dismantle their exhibits. Large exhibits are welcome, but containers and boxes too large to store in the booth must be removed from the exhibit floor. Cardboard and paper left on the floor may absorb moisture.

  • Absolutely no flammable fluids or substances are to be used in the arena.
  • There is to be no food sold from an exhibit at any time. Any food sold will be from the concession stand, run by a local non-profit organization. Sample food or beverage products may be distributed within an exhibit area with written authorization. Please contact the Dawson City Chamber of Commerce for authorization.
  • Exhibitors are not permitted to play music at their exhibits.
  • Smoking or vaping are not permitted in the arena at any time.

Equipment Display
If exhibitors are planning on bringing up equipment to display, please be advised that it must fit in your booth. Please contact the Dawson City Chamber of Commerce to make special arrangements otherwise.

Electrical Services
Special electrical requirements must be submitted in detail with your registration form. Note that late requests cannot be guaranteed.

Security
Booth security will be provided after set up and at the conclusion of each day until one half hour prior to the opening of each day. Doors will remain locked in the evenings. The Dawson City Gold Show and its hosts are not responsible for any goods left in the booth(s). During show hours, exhibitors are responsible for maintaining and securing their individual booth(s).

Limitation of Liability
The Dawson City Gold Show and its host, the Dawson City Chamber of Commerce, will be exempted from or indemnified for claims by show participants for injury, damage, loss or liabilities that may arise directly or indirectly from the occupation of the show premises.

General
For the purpose of providing a successful trade show, the host organization shall have the power to interpret the rules or amend them if necessary to satisfy the best interests of the event and all amendments shall bind the exhibitors.
